2.0/User Experience

Users now have the option to use a simplified interface for their cases Inbox. User Experience is a new feature available in version 2.0.37 and later. Since this is a beta version, expect more improvements in future releases.
Changing the interface
There are three types of User experience: Normal, Simplified and Switchable:
Normal: Users have the normal view, which is the default interface for ProcessMaker.
Simplified: Users have a simplified view of the ProcessMaker interface, viewing only the inbox where his incoming cases are listed with an overview of the information surrounding the case such as: name and number of the case, person in charge, date of the case, name of the form and the process it belongs to.
Switchable: With just one click, users can switch between the simplified view and the normal view at any time.
How to change the interface
Form the user side
Login to ProcessMaker with a user such as the "admin", who has the PM_USERS permission in his/her role. Then, go to ADMIN > Users > User Experience:
Click on the User Experience option in the sidebar to display a list of users:
To change the option click over the User experience column to display a dropdown with the option list to choose:
Users must log out from ProcessMaker to see their changes.
Form a group side
User experience must be applied for an entire group ,it means that all users who are assigned on that specific group are going to have the interface:
User Restrictions
ADMIN USER or users with PROCESSMAKER_ADMIN role can't change the interface:
Choosing interfaces
Simplified
Users can have a simplified view of the ProcessMaker interface, viewing only the inbox where his incoming cases are listed with an overview of the information surrounding the case such as; name and number of the case, person in charge, date of the case, name of the form and the process it belongs to.
If the user only receive cases and is not assigned to the first task to initiate a case, the following interface will be displayed for him:
Modifying Simplified Layout
Available version: 2.5.0
On previous version of ProcessMaker, it was possible to modify only CSS, however HTML code can't. From this version it is possible to modify not only CSS code but also HTML code to make Simplified skin, more personalized.
To modify HTML code, templates folder was added at the following location:
<INSTALL-DIRECTORY>/workflow/engine/skinEngine/simplified/templates/
Note: for every change made on the layout, don't forget to clear server cache.
Switchable
With just one click, users can switch between the simplified view and the normal view at any time. This option is located on the right above login menu:
Single Application
This application allows a user to work on an specific assigned task from User Experience. this means that when the user who is using this interface log in into ProcessMaker, he will be redirected to HOME tab to see the most current case assigned to him. Users can use it Normal users can become Single users trough this application following the next steps:
- Click on the user you want to assign for this application.
- The user must be assigned to a task
- When the task is derivated to the single user, the screen will change to the User Experience screen and will ask for the User and Pasword.
Only the users assigned to Single Application will be able to see this login screen.
- If the user has no pending cases, a dialog box will appear like the following image:
- The order of the tasks will be descendent, meaning that the first task to be shown will be the last on its creation date.
- Once the single user has loged in, he can start working on the task he has been assigned:
- On the top of the screen all the dynaforms, input or output documents assigned in the current task will be display in a different tab:
You can switch amongst tab options by clicking over them.
- If the Single user completes the assignment or finishes the process successfully, a dialog box indicating the process has been completed will appear in the screen like this:
Interface Characteristics: Simplified and Switchable
New Case
Users can start a new case, if they are assigned into the first task of the process:
MyInbox
Shows all the incoming cases. This is very useful because users can only see cases which require further action. By clicking on the name of the Dynaform, it will display the next step allowing users to continue the case:
MyDrafts
Shows all cases which are not completed, and require to be continued:
Unassigned
A very useful folder was added from version 2.0.44, the unassigned folder gives the options to improve the use of User Experience, now users have the possibility to open their cases from their unassigned option only if the self service assignment rule was defined.
On the above menu this option was added next to Draft option, so click on Unassigned to open the case:
Click on the name of the case to claim it:
A summary window will display, click on Claim this Caseto open it.
Advance Search
Available Version: 2.5
The Advance Search option gives the possibility to search specific information about processes running. The interface to search is the following:
Where:
- Category: search by category created on the definition of the process.
- Process: search by process name available on the current workspace.
- Status: search information according to the status: Cancelled, Completed, Draft, Paused or To Do.
- Search:' text box field where specific information could be entered.
Once the search was configured click on Search button, for example, searching by Draft status:
By clicking on option is possible to have two more search criteria:
- Delegated date from: To: Select the range date when a case is derivated from a previous task.
To choose dates to be searched, click n the textbox for the respective field and the calendar will be displayed:
Log out
By clicking on this icon users can log out from the ProcessMaker interface.
Case Notes
Users can add a Case Note by clicking on this icon.
This note will display below the case:
Send Notifications to Case Participants
Available version: 2.5
User who adds a case note will have the possibility to send email to all participants of the case.
Hide a Case
Cases can be hidden by clicking on this icon.
Derivation Screen Template
It's possible to create a custom template either for a process or for a particular particular task. This option is very useful for external users who don't need to know information about the next user or even the task, however this template may be created with variables from the default derivation template. The default derivation screen template will be:
